Office Associate II
Extended Day Enrichment Program
Part-Time (3 hours per day), 12-Months
Non-Exempt, Pay Grade 4
The Office Associate II performs a wide variety of responsible office and clerical duties; does related
work as required. The work involves the performance of specific routine operations and occasionally a few
separate tasks or procedures. Work is performed under regular supervision. Essential functions include,
but are not limited to the following:
- Collects information; responsible for a variety of routine administrative assignments.
- Processes payments received in person, by mail, and electronically.
- Collects and enters department related information into database.
- Greets callers and visitors, directs them to the proper source and answers questions; sometimes contact is of a difficult nature.
- Prints, collates, and assembles materials for distribution.
- Maintains files; files documents and other materials.
- Operates a variety of office machines.
- Maintains inventory of materials, supplies and/or equipment.
- Answers department phones, takes messages, and provides responses.
- Receives, opens, and sorts mail. Receives, signs for, and distributes packages.
- Provides back up for department administrative staff.
QUALIFICATIONS: Any combination of education and experience equivalent to graduation from high
school. Prefer some clerical and typing experience. Knowledge of standard office practices, procedures,
equipment and clerical techniques; ability to make arithmetic calculations; ability to file alphabetically;
knowledge of business English and spelling; ability to establish and maintain effective working
relationships with employees and general public; basic level proficiency in office-related software and
equipment, including computer, copier, fax, printer, multiple-line phone, projector, and scanner; ability to
understand and follow oral and written instructions.
PHYSICAL CONDITIONS AND NATURE OF WORK CONTACTS: Regular contact made with individuals
from: (a) other internal organizations; or (b) outside organizations; or (c) frequent contact with the general
public for purposes of exchanging factual information which may require some judgment or interpretation
in order to be responsive to questions or applicable to a specific situation. Communication is usually
cooperative in nature, with infrequent conflicts resolved by higher authority. Conducts work in a sitting
position; however, job could require frequent standing, walking, bending, stooping and lifting or carrying
items weighing 20-50 pounds. Requires frequent operation of a variety of office machines.
SALARY: $9.61 - $11.54/hour based on qualifications and experience
